Paul Nielander Posted April 13 Posted April 13 PASR Steering Committee Meeting Recap: Meeting Date: 3/18/2026 Greeting and Opening (Paul Nielander) General Club Update (Kevin Venisnik) - Relationship with PIR is good and we will be using this facilty for the upcoming fall and spring season. - Fall schedule is solid and negotiated with PIR. (See below) - MCC Update not promising (See Below) - Desire from Nissan Zconn to borrow / rent our equipment for their event. o This would be done at their site. o Details of logistics and next steps to be determined. - PASR School for October – November time frame. Catered food can be available. - SCCA was happy with our Starting Line school in February 2026. o Our crew had some interesting timing for setup and tear down and that was greatly appreciated. - SCCA National is potentially interested another Tour event. Still working the details. Membership Update (Kim Kemper) - 514 members o 29 are not region of record - Membership is stable and consistent since last Steering Committee. Financial Update (Lance Hamilton) - See the report attached for details. (See Below) - Bank balance is almost recovered from the time when we left AMP. Next Event #4 April 19th, 2026 - Two lot configuration considerations. (Kim Kemper and Paul Nielander) o Walk through the event logistics was done by Kim Kemper with particular review of the map attached below and the course design. o Discussion was gone through about Heat and Water planning in case of a weather concern. It was agreed that we will see weather conditions and react accordingly with making water available. Michael H. will, as usual, include text in the emails about heat and hydration readiness. Fall Schedule Update (Kevin Venisnik / Kim Kemper) - Event number 3 would be the Firebird event on November 15th, 2026. For Clarity: Event Number One is 9/20 (PR) Event Number Two is 11/1 (PR) Event Number Three is 11/15 (Firebird) Event Number Four is 12/5 (PR) PASR School would be 10/31 (PR) - For Spring 2027, we need to start looking into dates in June of 2026. Contracts by August. Firebird Fall Event (Kenny Mitchell) - November 15th is the confirmed event date. - Entrance fee is the current question. To cover the cost associated to this site rental. (To be discussed later) - The West Skid pad and the track is the area that we will have available. - Logistics planning for staging and paddock need to be worked out. - Course has been approved and can be submitted for Sanction. - Start and finish will be done differently. We will be using the ramps for the start and finish. No grid on course. - The space between the ramps will be a course dead zone. - Divisional Safety Steward has approved the use of the course for a points event. - There will be a requirement for DFQ use. Safety will determine how this will work before the event communications. The 4 wheels off will apply for disqualification from event and scoring. (Kim Kemper) - Action: Copy of the course map to Jim. - A review of the financial case / spreadsheet was conducted to determine the cost of the event based on the number of cars and expenses that need to be covered. (To covered later) - Hot swap for worker change to be discussed before the event. This is with an objective of addressing timing of the event. - One toilet is included. We’re going to need to increase the number of toilets to correspond with the number of participants. - Fire and Safety are available for 8 hours ONLY. Update on MCC Opportunity: (Kevin Venisnik / Kim Kemper) - Unfortunately, progress with MCC is not moving well. - Kevin to follow up with Mike Terrey to clarify the situation. - Nothing can be planned with this event at current. Speaker System (Wireless and Distance) (Kenny Mitchell) - Sweetwater Systems is the vendor that Kenny has been working with… - Wireless cannot more than 300 feet between transmitter and speaker. - The vendor would like to have a GPS photo of the site to help with design. - Minimum $5000 for 2 speakers. - This does NOT include power for the speakers. This will also have to be arranged. - Kenny is looking for agreement to proceed to next steps. But, it was deferred for exploration of less expensive options. - Low Power FM transmitter. The vendor does not recommend the use of this any longer. This is unfortunately impacted by other interferences near PR. - Kim Kemper suggested we get through the 2 lot April event to better understand logistics. - Kenny will in the interim look into boosting the existing FM transmitter for car radio assistance. o After the meeting a low cost alternative transmitter was found. o Board has approved the purchase of this transmitter to be used at upcoming events. Course Blowing Discussion / Update (Bruce Hanson) - Bruce covered the blowing of the event. Logistics and results. - The problem is storing the device and gasoline in the POD. - A unit is $2500 to purchase. - Bruce suggests that renting is a better course of action. So, for each event, we would simply add the $45 expense for the event. - The blowing took Bruce 1 hour to blow the course. - Bruce has looked into electric blowers. Husqvarna 880 CFM has a blower that is 200 mph. This unit cost ~$379 each. Adding a bigger battery for $209 more. He’s suggesting one for each workstation. Approximately $3000 for all proposed workstations. o Jim added that having smaller blowers across would be more practical. o Board passed purchase one of the Husqvarna blowers as a test. Conclusion / Next Meeting (Paul Nielander) May 21st will be the next Steering Committee meeting. PASR Financial Report 3/18/2026 Current Bank balances total $26,959.97 SCCA owes us $5,588.76 for SL school expenses We have already paid Phoenix Raceway $500 in deposits for Spring 2026 Total $32,548.73 We are seeing the bank balance slowly climb once again and is getting close to being back where it was before we left AMP.
